Privacy Policy
This policy explains how We Travel PC handles information about you and your organization when you use our client portal and IT services. We have written it in plain English. Questions are always welcome.
1. Who this applies to
This policy applies to users of the We Travel PC client portal at portal.wetravelpc.com, and to information collected as part of the IT and security services we deliver to our business clients.
2. What information we collect
We collect information that helps us deliver IT and security services to your organization. Specifically:
- Account credentials for the portal: usernames and securely hashed passwords (we never see your actual password)
- Device and network data: hardware inventory, network configuration, endpoint health, software inventory, and similar technical details from your systems
- Security events: threat detections, security alerts, email filtering events, DNS filtering events, and incident reports
- Business information: company name, contact details, service agreements, and billing records
3. Where the information comes from
The portal pulls data from the platforms we use to manage and protect your environment. These cover several categories:
- Endpoint management, patching, and hardware inventory
- Endpoint security and threat response
- Apple device management for Macs and iPads (where applicable)
- Network management and monitoring
- DNS and web filtering
- Email security on Microsoft 365 and Google Workspace accounts
- Microsoft 365, Google Workspace, and endpoint/server backup
- Remote support sessions
- DNS and domain management
- IT documentation
- Hardware warranty management
- Billing and invoicing
These platforms only process your data as needed to deliver our services. Each has its own privacy practices, which apply to information they handle. A full list of the specific platforms we currently use is available on request.
4. How we use the information
We use the information we collect for one purpose: delivering IT and security services to you. Specifically:
- Monitoring your systems for security threats and operational issues
- Displaying service status, reports, and billing information in your portal
- Alerting our team to issues that need attention
- Maintaining accurate records of work delivered to you
We do not use your information for marketing, analytics outside of service delivery, or anything else not directly related to running your IT and security partnership.
5. How we protect the information
Security is what you hire us for, so we hold our own systems to the same standard. Specific protections include:
- All portal traffic is encrypted with HTTPS/TLS
- Passwords are stored as cryptographic hashes, never as plain text
- Access controls ensure each client user only sees their own organization's data
- API credentials and integration tokens are stored securely
- Access is limited to authorized We Travel PC personnel and authorized users at your organization
6. We do not sell or share your data
We do not sell, rent, or trade your information to anyone. We share data only in three cases:
- With the platforms listed in Section 3, only as needed to deliver our services to you
- When required by law (court order, subpoena, or valid legal process)
- When you explicitly authorize a specific share
7. How long we keep your information
While you are an active client, we retain the information needed to deliver and document services. When our partnership ends, we will work with you to remove operational data we hold about your environment from the portal and our integrated systems. Some records (billing history, invoices, signed agreements) are retained longer for tax and legal purposes. We are happy to walk through specifics if you ask.
8. Your rights
You can:
- Ask what information we have about your organization
- Request corrections to inaccurate information
- Request deletion of your account and associated data (subject to retention requirements above)
- Opt out of non-essential communications

9. Billing and accounting data
When the portal integrates with QuickBooks Online for billing, it accesses only the information needed to display your invoices and payment status in the portal. We do not modify, transfer, or use that data for any purpose other than showing it to you.
10. Updates to this policy
We may update this policy from time to time. When we do, we will update the effective date at the top and let active clients know about meaningful changes.
